We are seeking several experienced Administrative Assistant for our Los Angeles District office. The positions require the Administrative Assistant to work at project site either at UCLA Campus, Dominguez State University or at Universal Studios. We are seeking candidates to support our projects and willing to travel to the project sites.

Responsibilities:
  • Answer the phone and direct calls accordingly
  • Support multiple project team members
  • Demonstrate excellent skills for the use of Outlook, Word, Excel and PowerPoint
  • Assemble subcontracts for execution
  • Perform all word processing requirements, maintaining databases, tracking spreadsheets
  • Design/maintain templates for forms, letters, etc.
  • Create and maintain spreadsheets, databases, documents and presentations
  • Assist with project payroll process including invoices and timecards
  • Arrange details for meetings, room booking, catering including ordering lunches, teleconferences, and outlook calendar invitations
  • Filing, prepare, organize and maintain files
  • Organize and order stationary supplies, toner, etc.
  • Perform data entry requirements (i.e. minutes, memos, letters, monthly reports)
  • Send/receive/distribute important documents via e-mail USPS, FedEx, UPS, courier and fax
  • Develop reports/manuals. Photocopying as required.
  • Assist project team with project close out documents
  • Assist other Administrative staff as needed
  • Provide support for others as required



Qualifications:
  • 2 years as an Administrative professional supporting in a fast-paced office environment. A/E/C industry experience is preferred
  • A high school diploma or equivalent
  • Advanced proficiency in Microsoft Office Suite. Attention to detail is expected
  • Excellent verbal and written communication skills
  • Must have strong interpersonal skills in a team environment
  • Team player is a must
  • Ability to prioritize, multi-task and take initiative
  • Ability to maintain confidentiality when dealing with sensitive documents
